Provide administrative and clerical support from the site to Company operation teams on Company
Ensure safety and security activities in the office area meet Company standards in cooperation with other teams (regularly attend to UG hazard meeting and take action as per meeting, ensure Shaft 1 and Chandmani offices have complete signage for confines space signage etc)
Keep underground and surface office supplies and stationery available.
Order and distribute underground employees’ pack meal bags and PPE from the warehouse.
Prepare PPE for visitors to the underground, keep PPE records and stock for future visits.
Print and update the tags of all Company employees, record changes, print hat numbers and order related devices.
Keep offices’ facilities/equipment inspections up to date and first aid kits are fully stocked.
Act as a fire warden - Put the registration form for the morning meeting of the teams in the muster point box and distribute it to them when the fire alarm activates.
Provide support to new employees and assist them (arranging ID cards, business cards, desk name labels, office keys etc.)
Arrange desks and office rooms for new and current employees and record changes in a file.
Keep locks, wash bags and towels available for locker owners - Solve complaints related to mine dry and lockers (missing clothes, hot water outage, toilet blockage, locker repair etc.)
Communicate information to underground employees who do not have an e-mail address (hot water outage, flight change, etc.)
Schedule and update the Shaft 1, 2 and Chandmani buses for all Company employees & Schedule additional buses during shaft shutdown and maintenance, work with the transportation team.
Keep available “Company Proud” awards for Company Ops wide, provide awards to individual as per “Monthly winner” record in the system and prepare report.
Perform the following tasks in the Osmotion and RTBS SAP systems:
Create employee profile, update it and book domestic travel.
Assist on roster booking of the employee and update changes.
Book international travel.
Book hotel and pick up services if necessary.
Create maintenance notification, SES and ANSI.
Assist managers in submitting expenses on the SAP CONCUR system.
Order IT hardware and software requests.
Book trainings for underground employees or those without an e-mail address and notify them by phone or in person.
Check employee annual leave request in the e-form and send o HR team and change travel if required.
Change approver in the e-time sheet if required.
Assist on site accommodation plan for Company Ops teams, request room change for employees.
Schedule ICT roster and inform the team if there is a change.
Grant access to cold and hot meals and record the update.
Order cage ticket for full shift UG employee
Work highly organized with other teams, Company management and contractors
Perform other tasks assigned by the supervisor
REQUIREMENTS:
Undergraduate or equivalent or higher education obtained through degrees or diplomas from academic college or universities.
Business Administration or a discipline relevant to the performing function.
Excellent performance on the current administrator role for at least 1 (one) year and above. Relevant experience is typically achieved through vocational training and equivalent practical experience or on-the-job training.
