We are hiring an Officer Administrative





Requirements:

  • Undergraduate or equivalent or higher education obtained through degrees or diplomas from academic college or universities.
  • Business Administration or Office Management
  • Relevant experience typically achieved through vocational trainings and equivalent practical experience or on-the-job training.
  • Able to create and develop variety of documents and templates on MS office software by using automatic functions of the software;
  • Knows and uses hidden functions within the MS office software (e.g. use Developer tab, or Animation tab, Add ins, etc.)
  • Excellent verbal & written communication skills in english

Duties and Responsibilities: 

  •  Provides centralized administrative support to customer departments and executives, exercising data confidentiality, tact and Diplomacy;
  • Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc; may prepare responses to routine correspondence and inquiries;
  • Uses administrative team software to deliver quality administrative support to customers. 
  • Supports visitors and employees and take duty telephone calls. Communicate courteously at all times and deal with issues professionally and promptly.
  • Co-ordinate departmental meetings, conferences and workshops and facilitate prestart safety meetings effectively.
  • Co-ordinate travel and transportation of customer departments while maintaining accurate employee database in the travel system
  • Generate stores requisitions and purchase requisitions 
  • Support with creating maintenance notifications
  • Maintain awareness and application of relevant policies/standards and application of appropriate forms consistent with business needs with support from Human Resources and other business partner(s). eg EAP, Leave Forms and engagement with employees in a direct supportive relationship
  • Work constructively and collaboratively with site Human Resources business partner(s) to apply common systems and approaches to: Payroll (Summaries/RTBS/Work Schedule Rules), Travel and Roster alignment with timely notification of any changes.
  • Assist with management of company documentation, site dispatch, records and files as per OT Document Control Management policies and procedures. File all incoming & outgoing correspondence.
  • Manage documentation standards, methods and practices.
  • Participate in the implementation of administrative standards, policies and practices for the organization.
  • Liaise with other department administration staffs.
  • Translate documents and reports into English and Mongolian. Assist with interpretation as required.
  • Explain complex ideas and technical systems to readers and stakeholders using written and oral communication skills.
  • Develop training materials, and other product and departmental support materials as required
  • Perform data entry tasks
  • Perform other related duties as required.

Contract term: 6 months
